Position Duties/Responsibilities:

The job duties listed below are not all inclusive of what the employee may be responsible for. Other duties may be assigned to assist with achieving certain goals, meeting expectations and supporting business needs. 

Program Planning  

·         Contribute to preparations for upcoming terms, including calendar preparation and staff task distribution 

·         Contribute to planning for all aspects of student services onsite, student arrivals and airport pick up, orientation, cultural and social activities, excursions, and health & safety matters associated will all programs 

·         Contribute to researching, evaluating and securing housing options to augment CEA housing inventory  

·         Monitor student enrollment numbers for upcoming sessions to anticipate future housing needs and event planning 

·         Negotiate vendor contracts in Student Affairs and Housing (short and long term)  

·         Work cross-departmentally to ensure alignment

·         Follow financial and contractual guidelines to execute program planning. 

Program Preparation 

·         Monitor student Health & Wellness cases and liaise with Home Office colleagues during the pre-departure phase 

·         Work collaboratively with home office staff and participate in pre-departure academic advising initiatives

·         Contribute to evaluating and securing appropriate and quality housing placements for all students. 

·         Meet pre-departure communication deadlines concerning housing placement release, etc. 

Program Delivery

·         Lead and participate in local activities, events and efforts (occasional nights and weekends required): Arrivals, Student Activities, Excursions, Reception duty, and weekly staff meetings.  

·         Participate in the rotation of the on-call CEA Emergency Phone 

·         Instruct students to complete Permit of Stay and Presence Declaration procedures. 

·         Meet regularly with students to check in on their well-being and assist students with mental and physical healthcare needs 

·         Mediate and resolve escalated student/university concerns, housing issues, health & safety cases, and other student-related issues, working collaboratively with all stakeholders and adhering to CEA protocols  

·         Oversee and ensure the consistent enforcement of CEA’s code of conduct and housing policies 

·         Report and document in CEA Database any student concerns and issues in a timely manner 

·         Compile and review Incidental Billing for approval before submission to Home Office  

Program Management  

·         Support team in establishing and maintaining relationships with vendors 

·         Develop and implement initiatives for continuous improvement that optimize program success

·         Participate in routine CEA trainings and align onsite services and support to new and/or best practices 

·         Collaborate with other CEA Centers on the identification and adoption of best practices 

Staff Management 

·         Provide guidance and leadership to staff and foster an atmosphere of collaboration and teamwork 

·         Participate in recruitment and training of new staff on CEA processes and protocols 

·         Manage staff assigned to your team and ensure proper division of work, scheduling, and vacation time 

·         Ensure internal policies and procedures are enforced and adhered to by your team

·         Promote and assist with recruitment of alumni ambassadors; supervise them onsite 

·         Encourage a work environment of inclusiveness, collaboration, collegiality, and respect among the staff 

·         Build accountability into the work culture, ensuring roles and objectives are clear at all times 

·         Encourage staff development and seek for professional growth opportunities 

·         Conduct regular check-ins and annual performance review

Program Development 

·         Support Custom Program development, working with the Custom Programs team to build programs and budgets. 

·         Coordinate with the Home Office in the development of Custom and Faculty-Led Program budgets and proposals to meet the needs of US university partners 

·         Monitor for accuracy and propose edits to CEA’s database, website, student literature and training documents related to Paris programs

Qualifications :

  • Fluency in spoken and written English and French.  

  • University Degree (equivalent to Bachelor’s), Master’s preferred.  

  • Must be authorized to work in France.  

  • Previous experience working in relevant field (5 years)

  • Previous experience working in international education (2 years)

  • Previous experience managing a small team (2 years)

  • Solid computer abilities (Microsoft Office and Internet proficiency).  

  • Excellent administrative and organizational skills. 

  • Commitment to DEI in study abroad programming

  • Open-minded and exceptional attitude: proactive and responsible

  • Flexible and able to respond quickly to changing circumstances

 

Other :

The Program Manager will join a team who contributes to all aspects of programming including student and faculty housing, arrivals and orientation, cultural activities and excursions, academic advising and administration, and overall supporting students in their study abroad journey.

Conditions :

  • Primary work station located at the CEA office/center. 

  • Required travel within France & Europe for Student Affairs and team events 

  • Occasional availability required outside normal office hours for events, meals or excursions

  • 1 week Emergency Phone rotation duty per 6-8 week cycle approximately.
