CONTRACT:                    Short Term Contract/CDD one year, starting September 15th, 2025 – 35 hours/week 

 

Working hours             When classes are in session, Tuesday and Wednesday: 9h0017h00, Thursday and Friday: 12h0020h00, Saturday 12h3018h00.

When classes are not in session, the Library is closed to the public and the schedule is Mondays through Friday 9h00 – 17h00.

Special schedules apply during summer sessions and breaks. Some holiday shifts may be required by the Library.

ORIGINE OF THE VACANCY

 

Given the development of the Film Studies Program and the need for developing the AV equipment loan, Academic Affairs and the Library will pull/make efforts creating a temporary position based partly in an existing library assistant position. This one-year temporary position will be a trial focusing on improving the audiovisual (AV) lending process for students and faculty of the Film Studies Program. The role involves close collaboration with the Film Program faculty, the IT Multimedia department staff, and the Library to enhance access to AV resources. While the position reports directly to the User Services Librarian, the employee will work closely with Multimedia staff to address technical requirements and will coordinate with Film faculty to ensure effective scheduling and support.

 

POSITION OVERVIEW

 

This position is a combined support position that will allow the University to extend new lending services of the Film Studies Program’s audiovisual technology and supports the University Library staffing the new library service desk on the 1st floor of the Quai building. In addition, the position also supports new emerging library services such as assisting with events, student clubs, AUP Library Instagram while supporting basic library services.  

 

This person will staff the new library service desk, depending on the weekly schedule. This position is key to providing services in an effective and welcoming manner. The person will occasionally provide support to other library services and library staff members. Note that during academic breaks equipment circulation and other support duties will give way to other duties.  

 

 

  

DUTIES AND TASKS

Library Circulation and Access Services Support  

·       Staff the library service desk for an average of 20 hours/week in the afternoon  

·       Open/close the library service desk following procedures  

·       Provide general information/directional services to the public  

·       Provide basic assistance to patrons with library technology: self-check machine DVD/VHS readers, printing from library databases, downloading/reading eBooks   

·       Refer users to appropriate service on campus 

·       Handle circulation issues   

·       Show patrons how to self-renew loans via the library catalog  

·       Help patrons to submit inter-library loan and document delivery requests and recommend items for purchase  

·       Explain the library loan policies (e.g., due dates, overdue items, fines)  

·       Provide basic technological trouble shooting such as wireless printing   

·       Show users where to find online resources on the library website  

·       Help users access physical material in the library stacks  

·       Refer patrons to appropriate services in the library and the university   

·       Verify user services & library mailboxes as well as the library chat queues; reply as

appropriate or forward requests to appropriate library staff members  

·       Replenish copiers/printers on library floors with paper, toner and staples as necessary 

 

Audiovisual Technology Lending Coordination

·       Communication

o   Before the beginning of each semester, collaborate with the teaching faculty of the Film Studies Program concerning the AV material needs

o   Communicate with the Library Document Access Supervisor, the Film Studies program, and the Multimedia Office about audiovisual materials issues

o   In-class reminders of the AV loan policies and deadline may be organized depending on the circumstances, especially towards the end of the semester

 

·       Preparation of equipment

o   Coordinate with the Multimedia Office regarding the preparation and making available the audiovisual equipment of the Film Studies Program 

o   Assembling separate equipment parts into filmmaking kits, under supervision of Multimedia Office staff

o   Checking, cleaning, creation of kits based on request submitted by faculty members via Helpdesk tickets

·       Coordinate with the library technology staff to implement the LibCal lending procedure related to the set-up of SpringShare audiovisual technology lending system (LibCal reservations, adding new items to LibCal)

 

 

 

 

·       Equipment Check-Out

o   Processing requests and reservations

o   Check in and out AV equipment  

o   Identifying additional needs based on the project or on information/syllabus provided by the professor

o   Transferring the equipment to the “pick-up” shelf at the Library Service Desk

o   Explain to students and remind them of the loan policies in relation to AV material (due dates, overdue items, fines) 

o   Follow the loan policies of audiovisual technology 

o   Answering basic technical questions, including the status of Adobe Creative Cloud license attribution

o   Basic trouble shooting of audiovisual material

·       Equipment returns

o   Verifying audiovisual kits on return and preparing them for the following check-out period

o   Checking, cleaning, refurbishing if spare parts are available

o   Maintain an accurate number of elements in each kit and report missing or out of order problems to the office of Multimedia to help keep an up-to-date inventory (GLPI database).

o   Be present and contribute to the end-of-semester Film Studies equipment inventory led by the Multimedia Office

o   Coordinate with Multimedia and the Film Studies Program the availability of audiovisual technology equipment and request repair or replacement as needed

o   Letting Multimedia and the Library Document Access Supervisor know if a fee needs to be applied on user’s account

o   For semester long check-outs, establish a comprehensive report/excel chart

o   Collecting circulation statistics of audiovisual equipment 

 

Library Shelving Support   

·       Assist users with mobile compact shelving if necessary  

·       Re-shelve physical materials (such as books, serials, films, reserves), neaten shelves as necessary 

·       Conduct missing item searches  

·       Empty the book-drop systematically 

·       Collect and re-shelve library material which have been left out of place  

·       Assist in shifting and organizing the collection if necessary  

·       Shelf-reading & shelf-neatening (physical maintenance of library shelves) 

·       Help with signage in the stacks  

 

Library Event and Administrative Support   

·       Provide clerical/administrative support as necessary 

o   Assist with event organization as needed (especially in the fall)  

o   Assessment: when needed assist to collate end-of-year library statistics (such as general, user services, information literacy).  

o   Maintain and update the public bulletin boards with current internal and external information  

 

Other duties  

·       Other appropriate tasks as assigned by supervisor and the University Librarian   

 

 

 

  

 

Skills :

QUALIFICATIONS  

 

·       At least two years of college-level study (Library Assistant); or an AA (Associate of Arts)

degree, with or without library technical assistant training  

·       Knowledge of Alma/Primo a plus

·       Film, media, or technical equipment experience in an academic or production environment highly valued

·       Prior experience in handling audiovisual equipment highly valued

·       Excellent interpersonal skills   

·       User oriented  

·       Very good oral and written communication skills  

·       Fluency in English, fluency in French is a plus  

·       Some basic customer service training

·       Ability to work independently  

·       Detail oriented  

·       Ability to handle repetitive tasks

·       Good computer and audiovisual technology skills
